Hello guys,

I run an AI development agency. We build AI solutions and automations, like automated lead nurturing systems or AI agents, for both internal and external uses. We’re doing some serious numbers for being in the business for just 6 months, we’re already signing multiple clients, typically 2 to 4 a week.

But here’s the thing ,we’ve got a couple of big problems:

  1. We book loads of meetings, I mean, as the CEO, my schedule is pretty much packed with meetings. That’s the plan, anyway. But we’re hit with a ridiculously high no-show rate, over 60%, which is super annoying and messes up my day. It’s funny, we get tons of inbound leads, mainly from our newsletter about AI for businesses and stuff, and it’s usually these guys who bail on us.

  2. Then there’s our website/landing page. We get a bunch of traffic there. But the rate at which people book meetings? Way too low. We’ve tried redoing the website, testing different strategies.(not sure if I should link it here for feedback or not)

Don’t get me wrong, our sign-up ratio is top-notch . But it feels like we’re just letting so many leads slip through our fingers, even though we’ve set up reminder emails (like one 3 hours before and another 15 minutes before the meeting).

I’ve even put a lead nurturing system in place, and we’re seeing better figures, but I could really use some advice from you guys.

    Why not set up a lead nurturing system from the beginning for leads, use the data from your system, and try to see where you lose people?

    As someone who has been in the b2b SaaS space forever - it’s a very common problem. When I joined my current company a year ago, we were having pretty similar issues: at least 50 percent of no shows which was annoying.

    A few things to keep in mind:

    1. Are all of your customers in a similar geographic location? It may be the case that your Calendly (or whatever you’re using, btw, you’re using some calendar booking tool, right?) time slots are very inconvenient. We’ve implemented better routing based on the regions and yet people from Australia are still causing us troubles with it 😅

    2. Is the CTA Schedule a demo? - if yes, there are 2 things you can do.

    2.1 send an immediate follow up email showing your excitement to meet them as well as information on how your company helps other businesses to 10x their results or send a loom link to a 90 second demo with some kind of hook.

    2.2. Redirect them to a thank you page, that has a 90 second demo/your personal video/testimonial, etc.

    A/B test the shit out of it.

    1. It may be worth it sending text reminders by making the phone field required.

    2. Have a killer 3-5 email sequence to reactivate these leads.

    After a year of trial and error with the steps above we were able to reduce no shows from 50 to about 14 percent.

    Instead of emails can you send texts with an easy way to cancel via text with a 1 or Y/N as reply? You could also add a note about cancellations may incur charges or something if that could help nudge them.

    I’m really interested in your business cause I’m thinking of something like this too. I’m in Australia though. Would you mind sharing your website via dm?
